Quality Assurance Coordinator


  • Desired Bachelor’s degree or demonstrated practical experience in the area(s) of expertise required.
  • Demonstrated capability in program project management applications with a minimum of three years’ experience.
  • Shall provide support for recruit sustainment programs as well as review and/or maintenance of human resource files.
  • Has a solid grounding in file organization and maintenance procedures, possesses proven skills relevant to file operations, including alpha/numeric filing skills and with office equipment i.e. copiers, scanners, and personnel computers.
  • Strong effective organizational skills.
  • Strong communication skills, both written and verbal.
  • Basic knowledge of standard office procedures and the ability to interpret general direction.
  • Mastery of the Microsoft Office Suite, Power Point, Excel, Word, Access.
  • Mastery of the Army personnel management system or Minimum of 1-year direct experience with the National Guard Bureau (NGB) programs.
  • Strong operational knowledge of the IPSS-A system.
  • Strong knowledge of personnel automation systems, to include but not limited to: RCAS, G1 WebApps, WiPAS v2.0, iPERMS, SIDPERS, SMMS, DPRO, iKROME, VULCAN, and IPSS-A system.

Work Responsibilities:

  1. RSP Accreditation Assistance
  2. Compose correspondence, such as instructions on procedures, requests for information, letters of acknowledgment and Standing Operating Procedures for programs and policies. Maintain schedules, appointments, archiving documents, and manage routine correspondence.
  3. Monitors compliance within the RSP program IAW NGB guidance and RSP accreditation standards.
  4. Prepares annual RSP Self-Assessment inspection report and submits to the Operations Sergeant Major prior to submission to NGB-HRR-S.
  5. Performs monthly RSP spot checks to ensure compliance with the RSP Program of Instruction (POI) and accreditation standards.
  6. Conducts quarterly RSP staff assistance site visits to ensure compliance with the RSP accreditation program.
  7. Ensure training schedules and risk assessments are submitted through Digital Training Management System (DTMS) to higher HQ NLT 120 days out (draft) and reflect the Yearly Training Calendar (YTC).
  8. Verify that RSP instructors named on the Training Schedule are qualified to instruct at the RSP. (Drill Sergeant, FIFC, RSP Cadre Course, 79T/SQI4). Working with BN Operations Sergeant to verify in ATRRS or with RSP Cadre’s existing training binder with certificates of trainers.
  9. RSP Quality Assurance
  10. Audits RSP training records.
  11. Utilizes knowledge management on the RRB GKO site to capture and consolidate RSP best practices utilized by top performing RSP sites.
  12. Conducts shipper packet quality checks and audits RSP VULCAN database.
  13. Reviews monthly Negative End Strength reports and requests updates on at-risk Soldiers to ensure issues are being resolved and training RENOs are completed.
  14. Monitors and reviews monthly RSP newsletters from each RSP site to ensure upcoming drill information is being communicated to the RSP Warriors.
  15. Receive Medical records from training post, review for possible LODs, track and place on 200 for submission to Health Service Specialists (HSS) located at Joint Force Headquarters (JFHQ), 2400 Wright Street, Madison, WI 53704.
  16. IPPS-A and iPERMS (to backup and perform if needed)
  17. Process all approved orders using IPPS-A system
  18. Properly post supporting documents into Soldier’s iPERMS.
  19. Properly code transactions in IPPS-A using documents created and/or posted.
  20. Upon receipt of approved requests for orders (i.e. promotions, demotions, transfers, discharge), input original, amendments and revocation of approved requests for RSP Soldiers using IPPS-A.
  21. Assist in the completion of state level IPPS-A transactions for RSP Soldiers. This includes, but is not limited to, assembling packet materials and source documents, then reviewing for quality assurance prior to submittal to G1.

Assist in processing all IPSS-A transactions for RSP Soldier transactions.
